Calendar & Scheduling Coordinator
Finds the slot, books the room, sends the holds — without the 14-email dance.
The job
Scheduling is logistics dressed as politeness. This coordinator owns availability math across people and time zones, proposes options, books rooms/links, sends holds and confirmations, and reschedules when plans slip — with preference rules you define (no Fridays after 3, buffer before deep work, VIP always gets first choice). Humans still decide *whether* to take a meeting; the agent runs the choreography.
A day in the life
- 01 Ingests scheduling requests from email, Slack, and forms
- 02 Checks preferences, focus blocks, and travel blackouts
- 03 Proposes 2–3 options; books once confirmed
- 04 Attaches agendas, dial-ins, and prep links
- 05 Handles reschedules and cascade updates to attendees
