Records & Filing Clerk

Names, files, and finds documents so “where is that contract?” takes seconds.

The job

Shared drives rot without a librarian. This clerk renames to convention, files to the right folder, applies metadata and retention labels, detects obvious misfiles, and assembles retrieval packs when legal, finance, or ops ask for “everything on Vendor X.” Boring, essential, relentlessly consistent.

A day in the life

  • 01 Ingests new docs from email, uploads, and e-sign complete events
  • 02 Classifies type and applies naming convention
  • 03 Files to taxonomy with metadata
  • 04 Flags PII-heavy items for restricted folders per policy
  • 05 Fulfills retrieval requests with complete packets

Sample shift log

A realistic slice of overnight / daytime work — artifacts in, decisions out.

07:30 128 new files classified · 4 naming exceptions
11:00 Vendor Y packet: 22 docs assembled for AP
14:00 Misfile in Marketing/Contracts corrected → Legal/MSA
16:45 Weekly orphan scan: 31 files proposed for home folders

  • Naming-compliant assets
  • Retention-tagged records
  • Retrieval packets on request
